1. Definitions

1.1 In these Terms:
1.1.1 “Accommodation” means any tent, bell tent, glamping unit, safari tent, campervan, motorhome, caravan, or camping pitch booked at Oak Tree Farm Park.
1.1.2 “Site” means the land and facilities operated as Oak Tree Farm Park.
1.1.3 “Site Rules” means any rules, notices or instructions provided on our website, in booking information, or on arrival at the Site.
1.1.4 “You” or “your” means the person named on the booking confirmation.
1.1.5 “We”, “us” or “our” means Oak Tree Farm Park.

2. Booking & Payment

2.1 We reserve the right to accept or decline any booking at our absolute discretion.

2.2 Your contract with us begins when we issue a booking confirmation (including through third-party platforms).

2.3 You, as the person making the booking, are responsible for all members of your party and must be at least 18 years old.

2.4 Children under 18 must be accompanied by a responsible adult.

2.5 We generally only discuss a booking with the person who made it.

2.6 Payment terms follow the booking system used. Failure to pay by the due date may result in cancellation.

3. Pricing

3.1 Prices may be reviewed and updated at any time. The price confirmed at booking is the price payable.

3.2 Current pricing is shown on our website or via booking partners.

3.3 Prices include standard use of water and electricity appropriate to your accommodation. EV charging is not included and is not permitted (see 11.3).

4. Behaviour, Conduct & Site Rules

4.1 Oak Tree Farm Park is a family-focused site with a strict no-tolerance policy regarding animal welfare, safety, antisocial behaviour, damage, and disruption.

4.2 Anyone entering animal fields, paddocks, barns or enclosures without permission will have their booking terminated immediately and must leave the site with no refund.

4.3 Any behaviour we consider unsafe, aggressive, antisocial, offensive, illegal, excessively noisy, or disruptive may result in immediate removal without refund.

4.4 You must keep your Accommodation and surroundings clean, tidy, and in good condition.

4.5 Smoking or vaping is strictly prohibited inside all tents, structures, and shared facilities.

4.6 Candles, fireworks, sky lanterns, and similar items are not permitted on site.

4.7 BBQs and firepits must be used safely, outdoors, off the ground, and never inside any tent unless provided as part of the accommodation (e.g. wood burners).

4.8 You must not use your Accommodation for any dangerous, illegal or commercial purpose.

4.9 Our bins are for reasonable household waste only. The disposal of camp beds, airbeds, broken tents, chairs, gazebos, barbecues, inflatables, large cardboard boxes, camping equipment, or any bulky waste is strictly prohibited. Leaving such items in or beside our bins will result in you being charged the full cost of removal and disposal, including labour and commercial waste fees.

4.10 CCTV operates in parts of the site for security, safety, crime prevention, and monitoring compliance. By entering the Site, you consent to being recorded.

5. Family Site & Group Bookings

5.1 Oak Tree Farm Park is a peaceful family site and not a party venue.

5.2 We do not accept stag, hen, or party groups. Large family or friend groups must be declared and approved at booking.

5.3 Additional rules or conditions may apply to group bookings.

5.4 Quiet hours are from 22:00 to 08:00 and must be respected.

6. Animal Safety

6.1 No entry into fields, barns, or animal enclosures unless part of an authorised experience or with express staff permission.

6.2 Feeding animals is only permitted using feed purchased on-site and following staff instruction.

6.3 Any interference with or mistreatment of animals will result in immediate removal without refund.

7. Hot Tubs, Fires & Cooking

7.1 Safari Tent hot tubs are wood-fired. One bag of wood is included; extra bags are chargeable.

7.2 Pre-heating of the hot tub may be available for an additional fee.

7.3 Guests must follow all safety instructions for hot tubs, firepits, BBQs, and wood burners.

7.4 Fires must never be left unattended and must be fully extinguished overnight or when leaving the area.

7.5 Cooking is by gas hob and BBQ only unless stated otherwise.

8. Property Damage

8.1 You are responsible for any damage, breakage, loss or excessive cleaning caused by you, your party or your pets.

8.2 We reserve the right to charge for repairs, replacements, cleaning and any associated loss of income.

8.3 Any damage or missing items must be reported immediately.

9. Dogs

9.1 Dogs must be booked in and fees paid:
Camping – £4 per night per dog
Bell Tents – £15 per stay per dog
Safari Tents – £20 per stay per dog

9.2 Dogs must be kept on a lead near livestock and under control at all times.

9.3 Dogs are not permitted on beds or furniture.

9.4 Owners must clean up after dogs.

9.5 If a dog is aggressive, noisy, out of control or causes damage, we may terminate the stay without refund.

10. Check-In, Check-Out & Early Arrivals

10.1 Safari Tents: 15:00 check-in | 10:00 check-out
10.2 Bell Tents: 13:00 check-in | 10:00 check-out
10.3 Camping: 13:00 check-in | 10:00 check-out

10.4 Early arrivals are at our discretion and may incur a fee.

10.5 Failure to vacate by check-out time may result in a late fee.

11. Vehicles, Parking & EV Charging

11.1 Vehicles may be allowed on the field depending on weather. You park at your own risk.

11.2 A gravel car park is available and may be required in wet conditions.

11.3 EV charging from Accommodation or any socket on site is prohibited unless a designated EV charger is provided. Unauthorised charging may result in charges and/or termination of stay.

12. Weather & Canvas Accommodation

12.1 Canvas accommodation reflects outdoor temperatures. It may be cold at night or in colder months.

12.2 Guests must bring appropriate warm clothing and bedding layers.

13. Cancellations, Booking Changes, Removal & Right to Refuse

13.1 We reserve the right to cancel, refuse or terminate any booking for breach of terms or unacceptable behaviour. No refund will be given.

13.2 Booking changes may incur a £10 administration fee. Not all changes are possible.

13.3 Cancellations within 7 days of arrival are non-refundable.

13.4 No refunds or changes will be given due to bad weather, including rain, wind, storms or cold temperatures.

13.5 No refunds will be issued due to force majeure, including severe weather, flooding, fire, government restrictions or events outside our control.

13.6 No refunds will be issued due to power cuts or outages.

13.7 No-shows, late arrivals or early departures are not refundable.

14. Maximum Occupancy

14.1 Occupancy limits must not be exceeded.

14.2 Additional beds or camp beds are not permitted without approval.

14.3 Exceeding occupancy may result in removal without refund.

15. Problems, Complaints & Conduct

15.1 Issues during your stay must be reported immediately so we can try to put them right.

15.2 Complaints raised after departure may be harder to address.

15.3 We will not tolerate abusive, threatening or aggressive behaviour towards staff or guests.

16. Liability

16.1 You stay at your own risk.
16.2 We are not responsible for loss or theft of personal belongings.
16.3 We are not liable for unforeseeable losses.
16.4 Nothing limits our liability for negligence causing death or injury, nor your statutory rights.

17. Events Beyond Our Control

17.1 We are not responsible for failures caused by events beyond our control, including severe weather, flooding, fire, pandemics, strikes, or utility outages.

18. Lost Property & Practical Information

18.1 Lost property may incur a reasonable return fee.
18.2 Perishables are disposed of immediately.
18.3 You must not interfere with farm operations or land.
18.4 Wildlife, including protected species, must not be disturbed.

19. Data Protection

Handled in accordance with our privacy policy.

20. Governing Law

English law applies. Disputes fall under the jurisdiction of the courts of England & Wales.

21. Agreement

By booking or entering Oak Tree Farm Park, you confirm you have read and agree to these Terms & Conditions.
